ABOUT THE ROLE
The Finance & Facilities Coordinator plays a crucial role in ensuring the smooth and efficient operation of EC facilities and daily financial activities. This dynamic role balances hands-on facility management and vendor relations with core bookkeeping functions. Beyond daily execution, you will champion our earned-revenue pipeline by managing facility rentals and providing the data-driven insights needed for strategic decision-making. Success in this multifaceted position requires exceptional communication, sharp organizational skills, and a solid foundation in nonprofit accounting practices.
Primary responsibilities include:
Finance & Bookkeeping (50%)
Execute daily bookkeeping functions, including recording, coding, and applying payments for A/R and A/P
Collect receipts and route all A/P for approval in BILL
Make mobile and physical bank deposits as needed
Obtain and maintain records for all vendor contracts, W-9s, agreements, statements, grants, and certificates of insurance (COI)
Enter transactions in accounting software (Xero) and reconcile bank feeds weekly
Assist with compliance reporting, including annual reports, property tax, charitable solicitation permit, etc.
Assist with the preparation of monthly, quarterly, and annual financial reports for Leadership Team, Board of Directors, and grant reporting as needed
Work with COO and fractional controller to adhere to proper financial controls and assist in gathering documentation for annual tax returns and audit reports
Facility Management (50%)
Coordinate all aspects of the facility’s daily operations
Ensure a safe, clean, and well-maintained environment for all occupants
Maintain sufficient levels of office supplies for staff and members
Collaborate with relevant stakeholders to identify and implement ideas for facility improvements
Manage inventory of tech supplies and assign equipment to employees
Identify, evaluate, and manage relationships with various vendors, including cleaning services, maintenance contractors, parking vendors, and security providers
Conduct reviews of vendor performance and cost to optimize cost-effectiveness, ensure service quality, and address issues promptly
Serve as the backup to cover the front desk, as needed
Manage logistics for internal team events, including room setup and catering coordination
Drive the end-to-end external venue rental pipeline; manage the reservation calendar, provide high-touch hospitality to event hosts, and proactively upsell add-on services and amenities to grow the EC’s earned revenue pipeline while tracking invoicing and timely payments
As the primary onsite point of contact and lead coordinator for events hosted at the EC, maintain a flexible schedule to staff early morning or evening events, with the ability to adjust standard daytime hours to maintain a healthy work-life balance
Perform other duties as assigned
ABOUT YOU
The ideal candidate for this position thrives in an agile and innovative environment with demonstrated experience working with a cross-functional team. Qualifications include:
Graduation from an accredited college or university with a bachelor’s degree or above in a related field
Demonstrated integrity and honesty to present accurate information and exercise excellent judgment in regard to confidential information
Ability to maintain a flexible schedule to accommodate events
Strong customer service skills, with an ability to manage revenue-generating activities
Proven experience in facility management
Ability to meet the physical demands of event execution, including setting up rooms, moving furniture, and lifting or carrying items up to 25 lbs as needed
Background in finance or accounting
Strong problem-solving skills
Strong interpersonal skills, with the ability to build and maintain relationships with diverse stakeholders
Excellent verbal and written communication skills
Detail-oriented with the ability to balance big-picture insights and daily operations
Highly organized, with the ability to manage multiple projects simultaneously and adapt to changing priorities
Proficiency in data analysis, reporting, and familiarity with online platforms
Proficiency in Microsoft and Google Workspace applications
Ability to work independently and as part of a team

ADDITIONAL JOB INFORMATION
This is a full-time, non-exempt position based in Nashville, TN.
Salary range is $50,000–$60,000, dependent on experience
Comprehensive benefits package, including medical insurance (an employee-only coverage, high-deductible medical plan option available at no cost to employee), company-paid life insurance, an employee assistance program with dental, vision, and disability options, and a 401(k) matching option
Accrued paid time off, plus 15 annual holidays, including time off between Christmas Eve and New Year’s Day
Due to the facilities management and accounting responsibilities of this role, onsite presence is critical to ensure smooth daily operations
